Your AI Needs a Guide: Create a Translation Dossier

The promise of AI translation is incredible, isn’t it? The thought of taking your book, your entire series, and sharing it with readers in France, Germany, or Brazil with just a few clicks is the kind of global reach we used to only dream of.

But if you’ve tried it, you’ve probably hit that all-too-familiar wall. You feed your beautifully crafted chapter into the AI, and what comes out is… technically correct, but lifeless. The idioms are translated literally (“he stabbed her in the back” becomes an actual assault), crucial character details are lost, and the unique jargon of your world is translated inconsistently from one chapter to the next. The soul of your story gets lost in translation.

This is where most authors give up, assuming AI just isn’t “there yet.” But the problem isn’t the AI — it’s that we’re sending it in blind. To get a high-quality, nuanced translation, you need to stop being a user and start being a guide. And your guide is something we call a “Translation Dossier.”

Why Your AI is Flying Blind (And How a Dossier Gives It a Map)

Think of your AI language model as an incredibly smart but hyper-literal assistant with no long-term memory. When you give it Chapter 5 to translate, it has no memory of what it did in Chapter 4. It doesn’t know that your main character, Viv, is female — which is a huge problem when translating into gendered languages like French or German, where even the table has a gender.

Without context, the AI has to guess. And it often guesses wrong.

This is why creating a dossier before you translate is a non-negotiable first step. It’s a detailed instruction manual you create for each chapter, giving the AI all the context it needs to make smart, consistent, and culturally appropriate choices.

In our Translations class, this exact issue came up. An author’s English phrase, “pull the rug out from under you,” would be visualized literally by French readers. The AI needs to know the meaning — betrayal — to find the correct cultural equivalent. Similarly, my own sci-fi romance has terms like a “wristlet that activates an ocular implant.” I need that translated the same way every single time, not three different ways across the book. The dossier ensures that consistency.

Building Your Translation Dossier: The Blueprint

Your dossier acts as a “mission briefing” for the AI. It breaks down the essential elements of your chapter so the translation isn’t just a word-for-word conversion, but a true adaptation.

Here are the key components your dossier should include for every chapter:

Cultural & Linguistic Notes

This is where you flag anything that won’t translate directly. Think idioms, similes, metaphors, or cultural references. Mentioning a character dialing “911” for an emergency needs to be localized for a country that uses “119” or “112.”

Character & Plot Deep Dive

List every character in the chapter, their gender, and any specific titles or traits. This is also where you highlight key plot elements or unique jargon that must be translated consistently throughout the book.

Names, Places, and Titles

Provide a list of all proper nouns. This helps the AI know whether to translate a name (which is rare) or keep it as is. For fantasy or sci-fi worlds, this is critical for maintaining consistency.

Tone and Style Guide

Note any unique speech patterns, slang, or colloquial language used by characters. You should also describe the overall emotional tone and pacing of the chapter so the AI can choose words that reflect that mood.

Creating this dossier isn’t an extra, tedious step — it’s the foundational work that unlocks a higher level of quality from your AI tools. It turns a generic translation into one that feels authentic and connects with readers on an emotional level.
