Beyond Spellcheck: AI Prompts for Smarter Copy Editing

You did it. You wrestled that first draft into submission, tamed the wild beast of developmental edits, and now your plot is solid. Your character arcs are compelling. The story works. So, what’s next?

Welcome to the world of copy editing—the fine-tuning stage where you polish your manuscript sentence by sentence until it shines. This is where we move from the big picture to the granular details of prose, clarity, and style.

If you’re writing with AI, you’ve probably noticed it can sometimes get… stuck. It might fall in love with a particular word or phrase, creating an echo chamber in your chapter. Or maybe it constructed a sentence so convoluted it would take a team of linguists to decipher. That’s totally normal. But it also means that a smart copy editing pass isn’t just a good idea; it’s essential for taking an AI-assisted draft and infusing it with your unique, human voice.

This is where you, the author, step back in to refine, clarify, and perfect the prose. And guess what? You can use AI to help you do it.

From Murky to Masterful: Prompts for Crystalline Clarity

Clarity is the cornerstone of a great reading experience. We want our readers to get lost in the story, not get lost trying to figure out what a sentence means. Confusion is the enemy of immersion.

In our self-editing classes, I always emphasize that the goal is to make the text easy to read and understand. This means hunting down anything that could trip a reader up, from confusing pronoun references to overly complex sentences.

Here are a few things to look for:

  • Complex Sentences: Break down long, convoluted sentences into shorter, more digestible ones.
  • Ambiguous Passages: If you use “he” in a scene with three male characters, a reader is going to get confused. Clarify who is doing what.
  • Inconsistent Terminology: I once found myself calling the same sci-fi gadget a “tablet” in one series and a “data pad” in another. Don’t do that to yourself! Keep your terms consistent.
  • Passive Voice: Aim for active voice whenever possible. It’s more direct and engaging.

You can tackle this chapter by chapter with a targeted prompt. Simply tell your AI what you need.

I'm looking to improve the clarity of my manuscript and would appreciate your help in analyzing a specific chapter. Please focus on identifying:

1. **Complex Sentences:** Locate long or convoluted sentences that could be simplified for better readability.
2. **Ambiguous Passages:** Pinpoint any sections where pronouns or descriptions are unclear and could confuse the reader.
3. **Inconsistent Terminology:** Check for any terms or names that are used inconsistently within the chapter.
4. **Passive Voice:** Highlight instances of passive voice and suggest active voice alternatives.

Please provide suggestions for revisions that will enhance readability while maintaining my intended style and tone.

Pro-Tip: After you’ve made your changes, have your computer read the chapter back to you. I do this for every single book I write. Hearing the words spoken aloud helps you catch awkward phrasing, missed words, and other little mistakes your brain might skip over when reading silently.

The Echo Chamber: How to Banish Repetitive Prose

“We’re repetitive human beings,” I often tell my students. “We don’t remember that we wrote something earlier in the chapter and we write it again.” The same is true for our AI writing partners, who can easily fall into repetitive loops.

Repetitiveness dilutes the impact of your story and can bore your reader. Whether it’s overused words (“she just couldn’t believe it”), similar sentence structures, or redundant information, eliminating repetition is key to keeping your prose fresh and engaging.

Your Repetition Hit List

  • Overused Words and Phrases: Find your crutch words (we all have them!) and replace them with synonyms or rephrase the sentence entirely.
  • Sentence Structure: If every sentence starts the same way, your prose will feel flat. Mix it up!
  • Redundant Information: You don’t need to tell the reader it’s cold three times in one paragraph. They got it the first time.

Here’s the prompt to put your AI on patrol for repetitive elements.

I'm looking to enhance the variety and freshness of my manuscript by eliminating repetitive elements. Please analyze this chapter and focus on the following:

1. **Overused Words and Phrases:** Identify words, phrases, or sentence starters that appear too frequently in close proximity.
2. **Sentence Structure Variety:** Analyze the sentence structures and highlight sections where the rhythm becomes monotonous.
3. **Redundant Information:** Point out any places where information or descriptions are repeated unnecessarily.

Please provide specific suggestions for diversifying language and structure while maintaining the chapter's coherence and style.

When the AI gives you its feedback, remember that you are in charge. Use its analysis as a guide, but trust your authorial instincts to make the final call.

Your Editing Workflow: The Chapter-by-Chapter Method

Now, you might be tempted to dump your entire 80,000-word manuscript into a chat window and hope for the best. Please don’t. You’ll overwhelm the AI and get vague, unhelpful feedback.

The key to effective AI-powered copy editing is to work systematically.

  1. Pick One Focus: Start with a single goal, like improving clarity.
  2. Go Chapter by Chapter: Feed Chapter 1 and your clarity prompt to the AI.
  3. Review and Revise: Implement the changes that make sense for your story.
  4. Repeat: Work through your entire manuscript, chapter by chapter, with that same clarity-focused prompt.
  5. Start the Next Pass: Once you’ve completed your clarity pass, move on to the next focus, like eliminating repetitiveness, and repeat the chapter-by-chapter process.

It might sound tedious, but this focused approach is far more effective. It keeps the AI’s analysis targeted and allows you to make consistent, meaningful improvements across your entire book.

By the time you’ve worked through these passes, your manuscript will be cleaner, stronger, and more engaging. You will have moved beyond just telling a story to crafting a powerful reading experience—all without having to hire an expensive editor.
